The research behind response time

A study published by Harvard Business Review in partnership with InsideSales.com tracked over 100,000 call-back attempts to online leads. The finding was striking: companies that contacted leads within 5 minutes were 100 times more likely to connect than those that waited 30 minutes.

The drop-off is not gradual. It's a cliff. After 5 minutes, your odds of qualifying a lead drop by a factor of 10. After an hour, you've lost most of the opportunity. After 24 hours, you're essentially cold-calling someone who has already moved on.

Why speed matters so much

When someone calls your business, they have a problem right now. They're looking for a plumber because a pipe burst. They need a lawyer because they just got a notice. They want to book an appointment today, not next week.

If you don't pick up, they call the next business on the list. According to Vendasta (2020), 78% of customers buy from the company that responds first. Not the cheapest company. Not the best-reviewed company. The first one to answer.

The average business is too slow

Research from XANT (now InsideSales) found that the average B2B company takes 47 minutes to respond to a lead. For small businesses and trades, the number is often higher because the owner is physically working and can't answer the phone.

That's the gap. The data says 5 minutes or less. Reality says 47 minutes or more. The businesses that close this gap win the customers. The ones that don't lose them to competitors who respond faster.

How to respond faster without hiring

The most obvious solution is hiring someone to answer calls. But for a solo professional or a team of 2-3 people, that's a cost of €2,000-3,000/month. Not practical.

An AI phone assistant like Safina solves this differently. When a call comes in and you can't answer, Safina picks up instantly, talks to the caller, collects their details, and sends you a summary. Your effective response time goes from 47 minutes to 3 seconds, without any changes to how you work.
