Why Calendly + Safina?
Scheduling appointments by phone is slow. The caller says “How about Tuesday?” You check your calendar. “Tuesday is full. What about Wednesday at 2?” The caller checks theirs. Back and forth until you land on a time. It takes three minutes when it should take thirty seconds.
Calendly already solved this problem for online booking. You share a link, the person picks a time that works, and the event is confirmed. No back and forth.
The Safina and Calendly integration will bring that same efficiency to phone calls. When a caller asks for an appointment, Safina can check your Calendly availability, suggest open slots, and book the appointment right there on the call. Or it can send the caller a Calendly link via SMS so they can pick a time after hanging up.
This integration is currently in development. Here is what it will do and how it will work.
What the Integration Will Enable
Appointment booking during the call
Safina already captures appointment requests: preferred dates, times, and the reason for the visit. With the Calendly integration, the AI will go a step further. It will check your real-time availability in Calendly and offer the caller open slots. When the caller agrees to a time, the event is booked immediately.
The caller hangs up with a confirmed appointment. You see the booking in your calendar. No callback needed.
SMS scheduling links
Not every caller wants to book on the spot. Some prefer to check their own schedule first. In those cases, Safina can send an SMS with your Calendly link after the call ends. The caller opens the link, picks a time, and the booking is done.
This is particularly useful for callers who say things like “Let me check with my partner and get back to you.” Instead of waiting for a callback that may not happen, they get a link they can use whenever they are ready.
Automatic confirmations
When an appointment is booked through the integration, Calendly handles the confirmation email and any reminders you have configured. The caller gets the same professional booking experience as someone who scheduled through your website.
Calendar sync
Because Calendly already syncs with Google Calendar, Microsoft Outlook, and other calendar apps, any appointment booked through a Safina call shows up everywhere you manage your schedule. There is nothing extra to configure.
How Setup Will Work
Step 1: Connect Your Calendly Account
In the Safina app, navigate to Settings, then Integrations, and select Calendly. You will authenticate with your Calendly credentials. Safina will request read and write access to your event types and availability.
Step 2: Choose Event Types
If you have multiple event types in Calendly (for example, “30-Minute Consultation,” “Initial Assessment,” “Follow-Up”), select which ones Safina should offer to callers. You can set a default event type for phone bookings or let Safina choose based on what the caller describes.
Step 3: Configure Data Mapping
Safina captures caller information (name, phone number, email if provided, reason for the appointment). This data will be mapped to Calendly’s invitee fields so the booking includes everything you need.
Step 4: Test with a Sample Booking
Run a test call where you request an appointment. Verify that Safina checks your Calendly availability, offers a time, and creates the event. Check that the confirmation email goes out and the event appears in your calendar.
Use Case Examples
A dental practice filling the schedule
A patient calls to book a cleaning. Safina captures the request and checks Calendly for the next available hygienist appointment. “I have openings on Thursday at 10 AM and Friday at 2 PM. Which works better for you?” The patient picks Thursday. The appointment is booked, and the patient gets a confirmation email with pre-visit instructions.
A consultant reducing no-shows
A potential client calls to discuss a project. Safina handles the initial inquiry and, at the end of the call, offers to schedule a follow-up consultation. Because the appointment is booked immediately with Calendly reminders attached, the no-show rate drops compared to “I will call you back to schedule something.”
A salon handling after-hours requests
Someone calls at 8 PM to book a haircut. Safina answers, captures their preferences (stylist, service type, preferred day), and sends an SMS with the Calendly link filtered to the right event type. The caller books from their couch, and you see the appointment when you arrive the next morning.
A law firm managing intake appointments
A potential client calls about a legal issue. Safina captures the details and assesses urgency. For standard matters, Safina sends a Calendly link for a consultation slot. Currently Available Alternatives
While the native Calendly integration is being built, you can connect Safina and Calendly today using automation tools:
- Zapier: Set up a Zap where Safina’s webhook triggers a Calendly event creation. Zapier’s Calendly connector can create events and send invitations.
- Make: Build a scenario that receives call data from Safina, checks Calendly availability via API, and creates the booking.
- SMS link workaround: Configure a Zapier Zap or Make scenario that sends the caller an SMS with your Calendly link after every call where an appointment was requested.
These approaches require a bit more setup than the native integration will, but they work today.

Safina will offer the nearest available alternatives. If no suitable time works, Safina will note the caller’s preferences and flag the call for you to handle manually.
Which Safina plan is required?
Integrations are available on the Pro ($29.99/month) and Business ($69.99/month) plans. The Basic plan does not include integration access.
