What the Integration Does
Safina connects to your Microsoft Outlook calendar through Microsoft 365. When a caller requests an appointment, Safina checks your availability, proposes an open slot, and books it, all during the phone call.
Real-Time Availability Check
Safina reads your Outlook calendar live. Meetings, blocked time, all-day events are all considered when suggesting available slots. If your Tuesday morning is packed, Safina knows and offers Tuesday afternoon or Wednesday instead.
Instant Booking During the Call
No need for callbacks or email chains. The caller says “Thursday at 2 PM works,” Safina confirms the slot is open, and the appointment appears in your Outlook calendar within seconds.
SMS Confirmation
After booking, the caller receives an SMS with the appointment details. You get a calendar event in Outlook with the caller’s name, phone number, and reason for the meeting.
Double-Booking Prevention
Safina checks your live calendar state before booking. If another appointment occupies the slot, Safina will not book over it. Overlapping events from shared calendars are also respected, as long as they are visible in your connected calendar.
Setup in 3 Steps
1. Connect Microsoft 365
Open the Safina app, go to Settings > Integrations, and tap “Connect Outlook Calendar.” Sign in with your Microsoft 365 account and grant Safina read/write access to your calendar.
2. Select Calendar and Preferences
Choose which Outlook calendar to use. Set your available hours, appointment duration defaults, minimum lead time, and buffer between appointments.
3. Done
Safina now reads your Outlook calendar and books appointments during calls. No further configuration needed.
Total setup time: Under 3 minutes.
Use Cases
Accounting Firm
Tax season means back-to-back client meetings. When a new client calls to schedule a consultation, Safina checks your Outlook calendar, finds the first available 45-minute slot, and books it. The client gets an SMS with the date, time, and your office address. No interruption to your current meeting.
Property Management
Tenants call about maintenance requests and need inspection appointments. Safina checks your property manager’s Outlook calendar and books a viewing or inspection slot. Details like the unit number and issue description are included in the calendar event.
Consulting Firm
A prospect calls to schedule a discovery call. You are on a flight. Safina answers, qualifies the inquiry, checks your Outlook calendar, and books a 30-minute call for later in the week. The prospect receives confirmation immediately. You land to a fully organized calendar.

Frequently Asked Questions
Which Microsoft plans are compatible?
Safina works with any Microsoft 365 plan that includes Outlook Calendar: Microsoft 365 Business Basic, Business Standard, Business Premium, E3, and E5. Personal Microsoft 365 accounts (formerly Office 365 Home) are also supported.
How is this different from the Google Calendar integration?
Functionally, they are identical. Both integrations check availability in real time, book appointments during calls, and send SMS confirmations. The difference is which calendar system you use. If your organization runs on Microsoft 365, connect Outlook. If you use Google Workspace, connect Google Calendar. You can also connect both if you use multiple calendar systems.
Can Safina access shared calendars or room calendars?
Safina connects to the calendar you authorize during setup. If you have permissions to view a shared calendar or room calendar in Outlook, Safina can factor those into availability checks. Booking is done on your primary connected calendar.
What happens if I reschedule or cancel in Outlook?
If you move or delete an appointment in Outlook, the calendar reflects the change immediately. Safina always reads your live calendar, so subsequent calls will see the updated availability. The caller is not notified automatically; you would need to contact them directly.
