| Website | Publicly available, with text about your business |
You don’t have to set up Safina line by line. If you have a business website, Safina reads it for you. Then she suggests how to handle your calls and what to ask. You review the suggestions and apply only what fits.
What Safina reads on your website
Safina opens up to 10 pages of your website. She mainly looks for your services, opening hours and contact details. Pages that your website blocks for automated visitors (robots.txt) are not read.
From this content, Safina makes two kinds of suggestions:
- Conversation guidelines: instructions for the call. For example, which reasons for calling exist and what Safina asks in each case, what she needs to know about your business and how she ends the call.
- AI evaluations: details that Safina captures during the call. For example, the caller’s concern or a callback number.
How to start the import
Step 1: Open the import
Open the Safina AI tab in the app. Below the entries Speech Behavior, Conversation Settings and Individual AI Analysis, you find two buttons: Use Template and Import from website. Tap Import from website.
The import is also a step of the initial setup. It works almost the same way there.
Step 2: Enter the address
Enter the address of your website, for example www.example-joinery.com. The app adds the https:// itself. A green check mark shows that the address looks valid. Then tap Continue.
Step 3: Wait for the analysis
Safina now reads your website. This takes about a minute. Keep the app open during that time.
If you try to leave the screen earlier, the app asks first. Keep waiting lets the analysis continue. Cancel analysis stops it, and the result is lost.
Step 4: Review and edit the suggestions
Next, the app shows Safina’s suggestions, split into Conversation Guidelines and AI Evaluations. All suggestions are selected at first.
- Deselect: tap the check mark of a suggestion you don’t want.
- Edit: tap the pencil icon. You can change the name and the text. Save keeps your change, Cancel leaves the suggestion as it was.
Step 5: Apply the suggestions
If you don’t have any instructions of your own yet, tap Apply. Done.
If you already have instructions, for example from a template, tap Continue. The app then asks how to proceed:
- Extend existing instructions: Safina adds the selected suggestions below your current instructions. If you already have an instruction with the same name, Safina keeps yours and leaves out the suggestion.
- Override existing instructions: Safina deletes all current instructions and replaces them with the selected suggestions. This cannot be undone, so the app asks you to confirm first.
After applying, the app opens your Conversation Settings. There you see the new entries and can adjust them at any time.
Good to know
- 10 imports per day: you can start up to 10 imports within 24 hours. Imports that fail or that you cancel count too.
- One analysis per team: only one analysis runs in your team at a time, no matter who started it.
- 2 minutes at most: if an analysis takes longer than about 2 minutes, Safina stops it.
- Not every website can be read: this happens, for example, when the website blocks automated visitors, contains hardly any text or loads very slowly.
If the import doesn’t work
If the import doesn’t work, the app shows a message below the input field.
This is what the messages mean:
| Message starts with | What happened | What you can do |
|---|---|---|
| “Safina couldn’t read any content on your website” | Safina found no readable text at the address. | Check the address. If it is correct, your website can’t be read automatically. Use a template instead. |
| “Safina couldn’t read your website in time” | The website responded too slowly. Safina stopped after 2 minutes. | Start the import again later or use a template. |
| “You’ve reached the limit of 10 imports in 24 hours” | You have already started 10 imports today. | Wait. It works again after 24 hours at the latest. |
| “An analysis is already running in your team” | You or someone in your team is reading a website right now. | Wait 2 minutes at most, then start your import. |
| “A temporary technical error occurred at Safina” | Something went wrong at Safina. Your website is not the cause. | Start the import again later. If it happens twice in a row, the app shows a link to the help pages. |
| “Safina can’t reach the server” | Your device has no internet connection right now. | Check your Wi-Fi or mobile data. |
| “Website import is not available for your account” | The import is not enabled for your account. | Contact our support. |
The alternative: use a template
If your website can’t be read, set up Safina with a template for your industry. The Use Template button is right next to Import from website. The article Industry Templates explains how it works.
