Court Deadlines Don’t Observe Holidays
The challenge with law firm holiday closures is that the legal system keeps moving. Filing deadlines, court dates, and statute of limitations periods don’t pause because your office is closed between Christmas and New Year. That makes your holiday phone message more than a courtesy. It’s a risk management tool.
A client who calls during your closure about a deadline that falls in the next 48 hours needs a clear path to reach someone. If your message just says “we’re closed, leave a voicemail,” you’ve created a gap that could result in a missed deadline, a damaged client relationship, or worse, a malpractice claim.
When to Use Each Script
Christmas & New Year Closure is the big one. Most law firms close for a week or longer around the holidays. This message needs exact dates, a specific return time, and most importantly, an emergency email monitored by at least one attorney. Name the person. “Email our managing partner, Sarah Chen, at s.chen@firmname.com” is far more reassuring than “email info@firmname.com.”
Thanksgiving Break is typically two to four days. The courts are also closed, which reduces the urgency somewhat. But clients don’t always know the court calendar, so include the emergency email anyway. The day after Thanksgiving is a common “catch up on personal calls” day for people, meaning your firm may get more calls than expected on that Friday.
Summer Closure / Reduced Hours applies to firms that take a summer recess or shift to reduced schedules. Smaller firms and solo practitioners sometimes close for a week or two in July or August. If you reduce hours rather than close entirely, state the adjusted schedule clearly. “We’re in the office Monday through Wednesday, 9 to 3” is better than “we have reduced summer hours.”
Easter / Spring Break is a shorter closure, usually a long weekend. Some firms extend it to a full week. Keep the message concise but still include the emergency email. Family law matters, in particular, tend to flare up around holidays.
Emergency Holiday Closure covers unplanned situations: a burst pipe, a power outage, or a weather event. Record this quickly with the expected return date and the emergency contact for active cases. Clients will be understanding about the reason, but they need to know their case is still being handled.
The Emergency Contact Is Not Optional
Every law firm holiday message needs an emergency path for deadline-sensitive matters. Here’s why this is non-negotiable:
- Statutes of limitations can expire during your closure
- Court-ordered deadlines don’t adjust to your vacation schedule
- Opposing counsel may file motions that require a response
- Clients may receive legal documents (subpoenas, complaints) that need immediate attention
The simplest approach is a dedicated email address monitored by a partner or senior associate on a rotating basis. This person doesn’t need to work during the holiday. They just need to check email once or twice a day and triage anything that can’t wait until the office reopens.
Some firms use an answering service for this purpose, but email works just as well and creates a written record. Whatever method you choose, test it before the closure starts.
Prospective Clients Call During Holidays Too
People don’t stop having legal problems during the holidays. Divorce conversations happen at family gatherings. Car accidents happen on holiday road trips. Business disputes surface when year-end financials come in. These are prospective clients calling for the first time, and your holiday message is their first impression of your firm.
A professional message with clear dates and a path for urgent matters signals competence. A careless message, or one left over from a previous holiday, signals the opposite. If you’re competing with other firms for new clients, these details matter.
Year-Round Responsiveness Without Year-Round Staffing
Even the best holiday recording can’t do what a live conversation does. Safina answers your phone during closures, asks the caller about their situation, and sends you a summary with contact details. If the caller describes something deadline-critical, the AI can direct them to your emergency email. You get organized intake notes instead of a stack of voicemails.
The Basic plan at $11.99/month covers the trickle of calls that come in during a typical holiday closure. If you want year-round overflow coverage for busy periods, the Pro plan at $29.99/month handles 100 minutes. Either way, no caller reaches a dead line.
